Duties of the President:
• The President shall exercise supervision over all affairs of the organization and shall be its official spokesperson in all matters pertaining to the organization otherwise determined by the Executive Board (President, Vice-President, Secretary, and Treasurer)by a two-thirds vote.
• The President or the Vice-President shall preside at all general meetings and all meetings of the Executive Board.
• The President shall appoint all officers, committees and committee members not otherwise provided for, subject to concurrence by the Executive Board, and may call on any member for assistance in the implementation of duties assigned by himself/ herself, the Executive Board of the general membership.
• The President shall approve and countersign all checks drawn by the Treasurer for appropriation of monies, shall sign all official documents subject to approval of the Executive Board, and shall initiate and pursue any communications with members outside individuals and agencies as may be necessary for the benefit of the organization.
• The President shall appoint a Sergeant at Arms (Sergeant at Arms: role is to uphold ethical behavior by maintaining order and decorum) one month prior to the general election meeting.
• The President shall be an ex officio member of all committees.

 

Duties of the Vice-President:
• The Vice-President shall, when called upon, assist the President by counsel or otherwise, and in the absence, disability or resignation of the President, function as the Chief Executive Officer until the next annual election. This officer shall assist the President and will be responsible for adequate standing committee reports from committee presidents for Executive Board Agenda.

 
Duties of the Secretary:
• The Secretary shall cause the proceedings of all sessions to be recorded, and shall produce such records upon the request of any member in good standing.
• The Secretary, under the direction of the President shall:
o Prepare all necessary reports as required by the President and Executive Board.
o Transfer to his/her successor, within thirty days, all papers, books, and other property of the organization.
o Be in charge of the answering of correspondence as required and directed by the President.
o Be delegated other tasks related to correspondence by the President and Executive Board.

 
Duties of the Treasurer:
• The Treasurer shall be the Chief Financial Office of the organization, and shall receive and collect all monies due the organization. Money shall be paid out only on approval of the President and Executive Board.
• The Treasurer shall prepare for the Executive Board a quarterly financial statement and an annual financial statement for the annual general membership meetings.
• The Treasurer shall keep a record of members whose dues are delinquent, and report such delinquencies to the Executive Board.
• The Treasurer will be responsible for the prompt payment of all legal debts incurred by the organization.
• The Treasurer’s boo(s) shall at all times be kept in a neat and efficient manner, and at all times available for examination by any member in good standing, or for official audits.
• All book, receipts, materials, and supplies used by the Treasurer in the normal course of business shall be the property of the organization.
• The Treasurer shall serve as the President in the absence of the President and Vice-President, and shall perform such other duties as may be determined by the Executive Board.
• The Treasurer shall at the close of every Fiscal year present all books, records and accounts to be audited by a committee appointed by the President.
